Sending records from Aleph

Send an FSVP package to an FDA agent, a lawyer or a customs broker, and keep a record of what went out.

On a paid plan, owners and managers can send an FSVP package to someone outside the company — an FDA agent, a lawyer, a customs broker — from the FSVP page. Everyone on your team can see the Sent record; FDA and auditor accounts cannot.

Sending

  1. On the FSVP page, click Send package and tick the products.
  2. Add up to five recipients: their type, name and email.
  3. Add a message if you like, and choose how long the link lasts: 3, 14 or 30 days.
  4. Include company FSVP records puts your company's full signed written procedures in the package. Without it, the package carries an extract of the procedures that lists only these products and their suppliers. The full procedures name every supplier you have, so the box is ticked for you only when a recipient is an FDA agent; you can change it.
  5. Review lists every recipient and the copy that goes to you. Click Send.

What the recipient gets

One email from Aleph's address, showing your name and company "via Aleph", with a button to download the package. The records are behind the link, never attached. You are copied, and replies go to your own email — Aleph does not read them.

The Sent record

Sent in the main menu lists every send, newest first: the date, who it went to, their type, the products and the status. Open one to see exactly which files went out, each with a fingerprint, and every time the link was opened. The link always serves the package as it was sent, even after you replace a document.

  • Sent means the email service accepted the email. It does not confirm the email reached the inbox.
  • Not sent means it did not go out; the reason is shown and the link does not work. Use Send again. If Aleph could not confirm the result, the send says the email may have gone out and its link stays active: Cancel link first, then Send again.
  • Opened means the link was downloaded.
  • Cancel link stops the link working at once. Send again sends the same package to the same people with a new link.

Each product page lists its five most recent sends. Packages, Share with FDA links and PFAS supplier requests sent before the Sent record existed are listed too, marked Earlier, with only what was recorded then.

INFO: Sending is on the paid plans; on Free, Send package shows a lock and a link to the plans. A company sends one package at a time and up to 20 in any 24 hours — if a teammate's send is still going out, wait a moment and try again. Send again counts as a send.
